Purchase orders and vendors

Keep a record of who you buy from and what you ordered, so receiving stock takes seconds.

Buying stock is where your money goes. Recording it in Swipee closes the loop between what you paid and what you sold.

Add a vendor

    Open Inventory → Vendors in the owner dashboard.

    Choose Add vendor.
  3. 3
    Enter the business name, contact person, phone number, and email.
  4. 4
    Save.

Keep vendors current. When you need a delivery urgently, the number should be one tap away and correct.

Create a purchase order

    Open Inventory → Purchase orders.
  2. 2
    Choose Create order and select the vendor.
  3. 3
    Add the items and the quantities you are ordering.
  4. 4
    Enter the unit cost you agreed.
  5. 5
    Save the order.

The order sits in your list until the delivery arrives.

Receive a delivery

    Open the purchase order.
  2. 2
    Compare the delivery against the lines — what actually arrived may not match what was ordered.
  3. 3
    Enter the quantity received for each line.
  4. 4
    Confirm.

Stock levels rise by the quantity you received, and the movement is written to your inventory history with the order attached.

Partial deliveries

Enter what arrived and leave the rest outstanding. When the remainder comes, receive against the same order. This is how you find out which suppliers actually deliver in full.

  • You learn your real cost per item, not the one you remember.
  • You can see which supplier is late, short, or expensive.
  • Receiving stock updates inventory in one action instead of item by item.
  • Stock history explains where every unit came from.
