Review your inventory history
Every movement of every item, with the reason — the record that explains where your stock went.
Updated 21 August 2026
Inventory history is the ledger of your stock. Every sale, delivery, and adjustment leaves a line, so a count that does not match can always be traced.
Open it
In the owner dashboard, go to Inventory → History. Filter by item, by store, or by date range.
What each line tells you
| Column | Meaning |
|---|---|
| Date and time | When the movement happened |
| Item | Which item or variation moved |
| Change | How many units in or out |
| Reason | Sale, delivery, adjustment, stocktake, breakage |
| Resulting count | What the stock level became |
Using it to find a problem
When a count is wrong, work backwards:
- 1Filter the history to that one item.
- 2Find the last point where the count was known to be correct.
- 3Read forward. Look for adjustments without a reason, or sales at odd hours.
- 4Compare against your transaction list for the same period.
Most discrepancies turn out to be a missed delivery entry or a sale rung up on the wrong item — both visible here.
Shrinkage
If stock disappears with no matching sale, the history is where the pattern shows: the same item, the same shift, week after week. Record breakages and returns honestly so the genuine losses stand out from the noise.
Keep it useful
- Always give a reason when adjusting stock.
- Enter deliveries when they arrive, not days later.
- Do a category stocktake monthly, so gaps stay small enough to explain.
